Job Title: Program and Volunteer Coordinator
Reports to: ReadyKids! Executive Director
Position Type: Non-exempt, Full-Time (40 hours per week)
Duration: June 16, 2025 – May 30, 2026 (grant-funded position with potential to become
permanent)
Pay Rate: $20.65/hour (approximately $41,300 annualized)
POSITION SUMMARY:
The Program and Volunteer Coordinator is responsible for leading volunteer recruitment efforts for the
ReadingPals program and serving as a site coordinator at one assigned school. This position manages the
volunteer pipeline from initial inquiry through onboarding, ensuring a strong match between mentors
and students. A key aspect of this role is representing ReadyKids! in the community to expand
awareness and cultivate partnerships that grow the ReadingPals volunteer base. The Program and
Volunteer Coordinator plays an essential role in advancing the ReadyKids! mission by strengthening
community engagement and supporting the long-term success of ReadingPals.
RESPONSIBILITIES:
Volunteer Recruitment
• Recruit, interview, screen, and assign ReadingPal volunteers to available school sites
• Respond to and track volunteer interest and inquiries from platforms such as PNJ ads,
SquareSpace forms, Get Connected, VolunteerMatch, and other sources
• Ensure inquiries from potential volunteers receive responses within two business days
• Assist with volunteer orientations and trainings
• Assist with one-time volunteer opportunities at ReadingPals sites
• Work with appropriate staff to ensure the website and marketing channels reflect current
volunteer opportunities
• Maintain accurate records of volunteer contact information across all recruitment platforms
Networking and Community Outreach
• Expand mentor recruitment by cultivating community partnerships and representing ReadyKids!
at schools, civic organizations, community events, and volunteer fairs

• Attend at least two after-hours or weekend networking events monthly (with flex time) to build
connections and expand volunteer pipelines
• Build relationships in local groups (e.g., Rotary, Chamber events, Junior League, etc.) to increase
visibility and volunteer leads
• Support the Program Manager by identifying and facilitating speaking engagement
opportunities at community organizations and events
• Coordinate outreach tables or booths at community events to share information about
ReadyKids! and volunteer opportunities.
• Track outreach impact and follow-up with individuals or organizations met at events to cultivate
deeper engagement or volunteer conversion.
• Maintain a calendar of community events and regularly assess which align best with ReadyKids!’
outreach goals and volunteer pipelines.
• Remain deeply embedded in the local community with intentional focus on networking as a key
job priority
• Represent ReadyKids! with professionalism and enthusiasm, consistently promoting the
organization’s mission, vision, and community impact.
Volunteer & Site Coordination
• Serve as ReadingPals Site Coordinator managing one assigned school site
• Coordinate first visit with ReadingPal volunteers and complete matching process between
volunteers and students
• Provide ongoing guidance and support to volunteers and respond to questions or concerns in a
timely manner
• Ascertain the compatibility of the volunteer-student match and troubleshoot challenges
• Maintain accurate and timely volunteer records in ReadingPals Drive; review student rosters,
volunteer spreadsheets, and associated documents weekly
• Regularly review volunteer/student hours and follow up on absences or scheduling concerns
• Strengthen relationships with teachers and administrators through regular check-ins and
collaboration to meet school-specific priorities
• Communicate regularly with teachers to assess classroom needs, schedule changes, or roster
updates
• Collaborate with school sites to identify family engagement opportunities that promote
continued literacy support at home
• Send out volunteer communication as directed by the Program Manager (e.g., school closures,
tips, monthly reminders)
• Ensure delivery of books to students each month for book distribution

• Assist with volunteer orientations and trainings including setup, breakdown, and verbal
presentations
• Assist with coordination of volunteer appreciation activities and surveys
• Maintain cleanliness and organization of ReadingPals room and program materials at assigned
site
• Be flexible and available to support at other school sites as needed
• Capture and upload photos during ReadingPals sessions for documentation and marketing
purposes
• Assist with setup, moving, and maintenance of ReadingPals program materials across sites
Special Events
• Assist with coordination and implementation of family engagement events to promote early
literacy, school readiness, and direct connection to families
• Attend and support fundraising and community outreach events to raise awareness about the
ReadingPals program, build relationships with potential volunteers and supporters, and connect
with families in need of early childhood resources
• Participate in additional ReadyKids! special events throughout the year to represent the mission,
support community partnerships, and promote volunteer opportunities
• Occasional nights and weekends required
Reporting and Continuous Improvement
• Submit a monthly staff report by 5pm the Monday before each Board meeting
• Assist with acquiring, tracking, and submitting necessary data, stories, and updates for grant
requirements
• Track and analyze student outcomes and feedback to identify data-driven improvements that
enhance program quality and impact
Professional Development
• Maintain expertise in areas necessary to excel in job performance.
• Attend trainings and workshops to increase knowledge of job-related field and core position
competencies
• Maintain a working knowledge of developments in the areas of early childhood education,
volunteer recruitment, and practices relating to program management

EDUCATION AND EXPERIENCE:
• Four-year college degree from an accredited college or university
• Relevant experience in volunteer recruitment, early childhood education, social work, or the
nonprofit sector is preferred, although we are happy to train the right candidate
• Qualifications may vary from the above requirements to such a degree as the ReadyKids!
Board determines is necessary and appropriate

REQUIREMENTS:
• Valid Florida driver’s license with proof of insurance and access to independent transportation
• Ability to be productive and responsible in a hybrid work environment
• Successful Level II clearance
• Ability to exert at least 20 pounds of force to lift, carry, push, pull or otherwise move objects
